Who it is for
South African companies up to about R100 million turnover, VAT-registered or not, with any financial year-end. It suits owners who want a monthly view and bookkeepers who prepare the pack for review.
How to use it
- Open the Setup sheet and complete the yellow cells: company name, financial year-end, VAT status, VAT filing category and reporting month.
- On the Trial Balance sheet, rename or add accounts and choose a report line for each from the drop-down.
- Enter last year-end balances for balance sheet accounts in the Opening column.
- Each month, paste the year-to-date trial balance from your accounting software into that month's column. Debits are positive, credits negative.
- Enter the budget by report line on the Budget sheet, excluding VAT.
- Open the Checks sheet and confirm it reads "OK - all checks passed".
- Review the statements, write the commentary, then print or save each sheet as PDF.
Exporting your trial balance
The Start Here sheet has export notes for Xero, Sage Business Cloud Accounting, QuickBooks Online, Pastel Partner / Sage Evolution and Zoho Books. The rule is the same everywhere: export the year-to-date trial balance at month-end, not the month's movement, and net debit minus credit into one column.
Before you rely on the numbers
Management accounts are only as good as the bookkeeping underneath, so reconcile bank, debtors, creditors, VAT, payroll and loans first. Packs you produce with this template are unaudited management reports, not reviewed under ISRE 2400, and not annual financial statements. SARS dates in the workbook are calculated from SARS rules; always confirm them on the SARS calendar. The workbook was built and tested in Excel. It uses standard functions and should work in Google Sheets, but it has not been tested there, so check that the Checks sheet reads OK if you try.

Which accounting software does it work with?
It takes a pasted trial balance, so it works with any package that exports one. The Start Here sheet has export notes for Xero, Sage Business Cloud Accounting, QuickBooks Online, Pastel Partner / Sage Evolution and Zoho Books.
Does it replace annual financial statements?
No. It is a monthly management report. Annual financial statements follow a framework such as IFRS for SMEs and are prepared separately.
Will it work in Google Sheets?
It is built and tested in Excel. Google Sheets is not tested, so check that the Checks sheet reads OK if you try it.
